Program Status: Implementation

The Incoming Student Questionnaire will help identify first-year students who may benefit from additional support and extended onboarding before the academic year begins.  The goal of the Questionnaire is to help students who may have additional challenges in their path to graduation and align a student's academic major with their professional aspirations. Additionally, the questionnaire will assess if a student has taken all the necessary steps and actions to enroll in classes.  With the Incoming Student Questionnaire, we hope to further support students by assessing and addressing student needs and challenges before classes even begin. 

Accomplished

  • Team created the questionnaire questions and shared questions with student employees and Pathway Directors for feedback
  • Team established survey timing with the initial email invitation sent out August 19th and reminders sent out on August 22nd and 27th. A second round of email invitations is set to be released on September 16th with a reminder email on September 25th 
  • Created response templates to support students who need assistance completing new student tasks
  • Created email survey invitation and confirmation.
  • Developed a communication strategy that entails sending email invitations out via Qualtrics and follow-up emails if needed from Student Success.
  • Reviewed Prior Learning Survey and Pre-Advising Survey to ensure there was no overlap of questions and the intent and purpose of the survey was clear to students.
  • The initial questionnaire was emailed to 3,002 new degree-seeking undergraduate students on August 19th. The new student list excludes any non-admits, post-bacs, and students without an advising pathway. Students must be registered for at least 1 credit in the Fall term.
  • As of August 27th the survey had more than 1500 completed respondents with a 50 percent response rate. 
  • The survey was sent out via Qualtrics through email invitation. Upon completing the survey students received an immediate confirmation email. Survey reports are available and accessible to all academic advisors via Google Sheets.

In Progress

  • Possibly utilize Slate to send out survey in future iterations
  • Continue to review workflow to understand who will contact students and when
  • Creating more response templates for advisors
  • Coordinate timing of outreach. team will review the escalation matrix and review/coordinate responses
  • Workgroup to refine the questionnaire in preparation for next term.
  • Workgroup to assess goals and deliverables, and to determine action plan and next steps.
