Odin Account Standard

Introduction

An Odin account is the primary computer account used by employees, students, and affiliates at Portland State University (PSU).

Purpose and Applicability

The purpose of this standard is to define the different types of Odin accounts and when access expires. This standard applies to all PSU Odin computer accounts.

Types of Odin Accounts

To meet a wide range of user needs on campus, the Office of Information Technology (OIT) provides five types of Odin accounts: Standard Odin Accounts, Affiliate Accounts, Service Accounts, Limited Access Odin Accounts, and Provisional Accounts.

  • Standard Odin Account: A standard Odin account is created for all faculty, staff, and students.
  • Affiliate Account: An affiliate account is created for individuals who are not eligible for a standard Odin account, but still need to access PSU IT resources. A new affiliate account must be requested on the individual's behalf by an employee with the access level at or above that of a dean, director, or department head.   • Service Account: A service account is typically used as a departmental email account and provides access to Google Workspace (Gmail and Google Calendar only).
  • Limited Access Odin Account: A standard Odin account converts to a limited access Odin account upon expiration for students and employees. Limited access currently means access to PSU Single Sign-On and Banner. Each PSU application will decide the access that former students and employees will have after sign in, so you may be able to sign in but not have access to certain services once you have left the University.
  • Provisional Account: A provisional account is created for prospective students when they begin their application. It only allows access to the undergraduate application. It is converted into a standard Odin account after acceptance.

Odin Account Expiration

OIT follows the guidelines in the Odin Accounts Expiration table below when expiring Odin accounts. Expiration means that you will not have access to most PSU services, including email or the ability to sign in to a PSU computer. Former students or employees will have limited access to their Odin accounts after they leave the University.

Note: Email messages will bounce back to sender as undeliverable once an Odin account is expired.

Odin Accounts Expiration

Account Type Description Grace Period Account/Data Deletion
Standard Odin Account - Admitted Students              All admitted students who have not yet registered for a course.   If course registration has not occurred, the account will be disabled 6 months after the admit date.  If course registration has not occurred, the non-Banner account data may be deleted after 1 year. 
Standard Odin Account - Registered Students    All students who have registered for a course, Institute of Aging, LINK, Challenge, International. Converts to Limited Access Odin Account after expiration.   1 year from end of last term of attendance; when the grace period ends the account will be disabled.  1.5 years after the last term of attendance, non-Banner account data may be deleted.
Standard Odin Account - Faculty/Staff PSU faculty and staff. Converts to Limited Access Odin Account after expiration. The account will be disabled shortly after separation date.
6 months following the separation date, non-Banner account data may be deleted.
Standard Odin Account - Adjunct Faculty Adjunct faculty. Converts to Limited Access Odin Account after expiration. 1 year from the end of the last term taught; when the grace period ends the account will be disabled. 1.5 years following the last term taught, non-Banner account data may be deleted.

Standard Odin Account - Emeritus
Emeritus as officially denoted in Banner. N/A Does not expire for lifetime of the account holder, unless officially requested otherwise.

Affiliate Account
Volunteers, Short/medium term visitors, Non-credit students needing IT resources, Contractors/Vendors, Retired Assoc of PSU (RAPS), Foundation, OUS, USGS, Courtesy Appts.  The account will be disabled shortly after separation date. 6 months following the separation date non-Banner account data may be deleted.

Service Account
A non-person or role account typically used for departmental email, automated processes, etc. Does not convert to Limited Access Odin Account after expiration. None, the account will be disabled within 24 hours of the expiration date. 6 months following the expiration date account data may be deleted.

Limited Access Odin Account
Provides limited access to PSU Single Sign-On and Banner services after expiration of a standard Odin account for employees and students. None 75 years following the expiration date account data may be deleted.
Provisional Account Provides access to the PSU undergraduate application. N/A None. Accounts remain until conversion to standard Odin accounts.
