Service Description

OIT provides audio/visual support for meetings, conferences, and events on Portland State University’s campus. Services include audio amplification, video projection, lighting, hybrid meetings, webinars and recording. 

Service Details

AV Event technicians set up and tear down equipment before and after your event. For more complex events, technicians provide onsite support for the duration of your event.

Availability

This service is available to the following groups with a reserved space on campus for their event:

  • Faculty
  • Staff
  • Students
  • Public

AV Event support is subject to available capacity and requires at least two weeks notice for booking prior to the date of the event.

Charges and Fees

Each event is unique based on the venue, run-time and equipment requested and charged accordingly. Request Event AV Support to receive a cost estimate for your event.

Charges and Fees include:

  • Rental fees for selected equipment
  • Hourly technician fees for setup, teardown, and onsite support
  • Pre-event administrative fee based on the time required to plan and organize AV services for your event
  • Late booking fee of 25% for reservations made fewer than fourteen days before the event
  • Additional administrative fees for changes requested less than 48 hours before the event
    • OIT reserves the right to refuse late change requests based on availability
  • Additional equipment or AV technician hours added during an event will be added to the final invoice
  • Cancellations 
    • All cancellations must be submitted in writing more than 72 hours prior to event start time to avoid additional fees
    • Cancellations less than 72 hours prior to event start time will be charged 50% of the original estimate
    • Cancellations less than 24 hours prior to event start time or will be charged 100% of the original estimate

Terms and Conditions

  • Approval of the AV event services cost estimate is required to complete the booking process
  • OIT webinar licenses are only available for events actively supported by the AV Events team
