Payroll Overview

Portland State's payroll operations team is housed within the Human Resources department with a focus on quality customer service and accurate, timely payroll processing in compliance with federal and state regulations.

PSU processes payroll on a monthly basis and issues paychecks on the last business day of each month. Pay received each month may reflect hours worked for dates of the 1st through the last day of the month (monthly cycle) or the 16th of one month through the 15th of the next month (hourly cycle).

Payday Schedule

Pay is distributed on the last business day of every month. For example, if December 31st is on a Sunday, employees will receive a paycheck on Friday, December 29.

Employees are strongly encouraged to sign up for Direct Deposit when possible to reduce risk of lost or delayed checks in the mail.

Payroll Deadlines

To ensure an accurate and timely payroll process, all payroll-related documents must be received by the Office of Human Resources by 5 p.m. on the 10th of each month or on the 16th of each month depending on position and FLSA status.

9-Month Contract Employees: Employees who are on a 9-month contract are paid from September 16 through June 15 each year. As a result, September and June are partial month pay. Visit the Getting Paid web page for more information.

Payroll Documents

The various pay documents that HR must receive are:

  • Letters of Offer/Notice of Appointment
  • Appropriate time sheet and/or leave roster
  • Any notice of a pay change, stipends, out-of-class, merit or special increase, etc.

Late documentation may result in a late paycheck and create liability for the University under state and federal laws governing timely pay. Employee Records

Life and careers are constantly changing and employees need to update or change payroll information when this happens. HR Payroll Operations relies on employees to manage their records and keep this important information up to date. Read on for tools and processes provided to make sure information is handled correctly and confidentially.

Change/update address or telephone number with PSU

There are two places that employees must change information to complete this process:

  1. Change personal information in Banweb which will allow accurate payroll and tax information.
  2. Go to PEBB Benefits and login to change personal information.

Change/Update your name

Employees can update their name by visiting the Office of Human Resources. A new Social Security Card is required (Please Note: IRS regulation and the Federal Employers Handbook of 1998, requires that every employee’s payroll name must exactly match their Social Security card to prevent misdirected social security funds.) To verify this, HR must see an employee's original Social Security card and make a copy for the employee's file.

Check Vacation And Sick Leave balances

Employees can check leave balances through Banweb. The leave information is located in the Employee section.

Banweb

Banweb has comprehensive information including the following:

  • Personal Information - add/remove personal/professional details to the PSU online directory; change access PIN and security questions as well as updating address, phone number and emergency contact. Note: See "Change/update address or telephone number with PSU" above to make sure all steps are completed to change personal information.
  • Employee - view paystubs, benefits, leave balances or job data, W2 and T4 forms; create timesheets, request time off and make changes to W4 data.
  • Student Services & Financial Aid - this is for PSU students and not all employees will have this option unless they are taking classes. Use this section to register for classes, view academic and financial aid records, order an official transcript, etc.

Reporting Time

Employees are responsible for reporting time worked and leave taken each month in order to be paid correctly. Instructions and tips are available to assist with accurate and compliant reporting.

Getting Paid
