Not StartedThe employee has done nothing.If this is an active employee, then they need to start the electronic time sheet and submit it for payment. If this employee is NOT an active employee, then please complete the appropriate forms to end their job on the system.
In ProgressThe time sheet was never submitted by the student.Contact the employee and get them to submit the time sheet for approval. Then, approve it for payment (no paper copy is needed at HR).
PendingThe time sheet WAS submitted by the employee.Approve for payment (no paper copy is needed at HR).
ErrorThere is a problem with the time sheet.First check the error message; if the error is that there is no pay rate, then please add one and re-approve the time sheet. If it is another type of error, then please give HR a call and we’ll see if we can get it fixed.
Returned for CorrectionYou have returned the time sheet to the employee so they can fix some of the time entry.None at this level -- the employee needs to re-submit the time sheet for approval in order to be paid.

Frequently Asked Questions

  1. Why doesn’t my student have an Employee section when he/she logs into Banweb?
    Your student has not been set up as an employee on the payroll system yet. Please send your student to HR to fill out new hire paper work. He/She will need to bring their social security card and I-9 identification.
  2. Why can’t my student access his/her time sheet?
    He/she don’t have a job set-up on the system yet. Please ensure that a Hire/Change form has been submitted for him/her. Or, there is an issue with the approval set-up in the system. Also, please contact payroll staff in HR to resolve the current payroll approvals.
  3. Why is the pay rate wrong?
    Pay rates for student employees are updated when the time sheet is approved. If it was not corrected at the time it was approved then please contact HR immediately.
  4. Why can’t my student submit his/her time sheet?
    There is an error on the time sheet such as overlapping hours. Please print a copy and take a closer look to catch the error. Or, he/she is attempting to submit 30 days after the end of the pay period. He/she will need to print and submit a paper copy of the time sheet and submit that for approval.
  5. My student’s wages are paid from a grant; does he/she still need to submit his/her hours online?
    Yes, the grant accounting will be done concurrent to your student being paid on time.
