Graduation Process Using DARS Audits

This process is being used by the Graduate School (GS) for all master's degree, doctoral degree, and graduate certificate programs. 

  • The student submits the Application for Awarding of Master's Degree, Doctoral Degree, or Graduate Certificate by the specified deadline
     
  • Preliminary DARS audits are run by GS in week 5 for students who have met the application for graduation deadline. The audits are sent to the department for review in a batch.  
     
  • Departments review the preliminary audits and submit DARS exceptions as needed. This step should be done by the 7th week of the term. 
     
  • GS processes the DARS exceptions as they are submitted.  
     
  • Between week 7 and 10 of the term (before grade roll), departments should run new DARS audits in Banweb on graduating students to verify that exceptions submitted and processed have taken care of the student's deficiencies. If not, the department should submit new exceptions as needed.  
     
  • After grades roll for the term, GS will run the batch graduation process, which will automatically award the degree (in the Student Information system) of everyone who is meeting all degree audit requirements (thesis/dissertation students, and those who have applied for graduation with more than one program in a term are not included in this process). Every student not graduated with the batch graduation process will be reviewed individually by the GS processors. If a DARS audit shows outstanding requirements or issues, departments will be notified by the GS processors. Departments submit new exceptions as needed. 
     
  • When GS has determined that all requirements for graduation have been met, the student is certified for graduation and the degree is awarded in the Student Information System (BANNER/Banweb). 
     
  • Once a student has graduated, they will automatically receive an email at their pdx.edu address (and their alternate email address, if they provided one when they applied for gradation) 1-2 business days after the degree is awarded.
     
  • Diplomas are generally mailed within 3-4 weeks after the degree is awarded, except for fall term which will take 4-6 weeks due to holiday closures. Diplomas will be sent to the mailing address the student provided on the graduation application. If this address has changed, a student can update it by emailing the Degree Requirements office at askdars@pdx.edu.
